Managing files

Keep your team's images, videos, and documents in the workspace file library. Upload a file once, add useful details, and reuse it in your content.

Upload a file

  1. Open Files from the workspace sidebar.
  2. Drag a file into the library or choose it with the file picker.
  3. Wait for the upload to finish, then open the file to review its details.

Allowed file types and size limits depend on the platform's upload settings. The default maximum size is 250 MiB. If an upload is rejected, check the file type and size, or ask your Administrator about the configured limits.

Preview and organize

Open a file to preview it and edit its details. The library supports previews for images, videos, and documents.

Name Choose a descriptive name your team can recognize.
Alt text Describe what an image conveys for people who can't see it.
Tags Add consistent labels to organize related files.

Alt text belongs to the file's metadata. Your website integration needs to use that value when displaying the image.

Attach a file to an entry

Open an entry and find an attachment field. Select a file from the workspace library, then save the entry. Whether you can select one file or several depends on how the field is configured.

A file can be attached to multiple entries. You don't need to upload another copy each time.

Check where a file is used

Open the file's references view to see entries that use it in attachment fields. Review these references before deleting a file, especially if it appears in published content.

Download and share

Use the file's download link to retrieve the original file. Viresso provides a link containing an access token; anyone with that link can download the file, so share it only with the intended recipients.

Use the supplied link rather than constructing a URL yourself. Connected websites can use image variants when they need a resized image; your developer can configure these through the Files API.

Delete a file

You can delete one file or select several for deletion. Deleting a file also removes its attachment references from entries in every locale. The entries themselves remain available, but the deleted attachment is no longer present.

Check the references before deleting. Content using the file may need a replacement image or document.

Troubleshoot an upload

  • The file is too large: reduce its size or ask an Administrator about the upload limit.
  • The type isn't allowed: use an accepted format. General-purpose archives are excluded from the default upload settings.
  • You can't upload or delete: check your workspace role. Viewers can browse files but cannot change them.
